Job Description
This position reports to the Executive Director and is responsible for planning and producing special events, including fundraising, public, donors, events and meetings. This position will oversee venue selection and set up for events, manage day-of activities, and provide ongoing status and wrap-up reports. This position will coordinate requests and logistical support for all parties as needed.
Core Functions:
- In collaboration with the executive director and marketing coordinator:
- Plans special events in collaboration with department and organization staff. Ensures event dates, timelines and objectives are planned and communicated. Identifies venues and works with stakeholders to identify and prepare resources.
- Works with marketing and communications team to create event-related materials.
- Manages day-of event activities, oversees set up, ensures participants are updated on event timelines, coordinates event volunteers and works with venue staff.
- Collects and processes donations and prepares and pays event-related invoices. Creates post-event reports and analytics to evaluate event outcomes. Ensures that event expenditures stay within budgeted amounts.
- Actively seeks new fundraising opportunities to enhance brand visibility, generate new fundraising options and provide donor engagement.
- Solicits and facilitates in-kind support. Catalogs and processes in-kind documents, written descriptions and cultivates relationships with donors.
Position Requirements:
- Strong knowledge of non-profit event planning. Able to plan and execute all aspects of event fundraising and evaluate event design and execution elements that affect the success of events.
- Must be able to use auction technology and fundraising-related technologies.
- Must be self-directed and able to work independently.
- Demonstrates excellent communication and relationship-building skills to work effectively with diverse groups of stakeholders.
- Excellent coordination and project management skills required to successfully plan, organize, and execute events. Able to coordinate staff and volunteers and work productively with leadership team.
- Able to work in a fast-paced environment and adapt to changing needs. Maintains professional demeanor under stressful conditions.
- Microsoft Office Suite knowledge preferred.
Qualifications:
- Must have high school diploma or equivalent. Bachelor’s degree preferred.
- Must have at least 1 years of experience in event planning, operations and roles.
- Prior experience is preferred.
Additional Requirements:
- This position primarily works with your schedule, evening and weekend hours are required for activities and events days
- Must be 18 years and above with a valid driver’s license.
